Job Description

At Turner & Townsend, we help deliver transformational programmes and projects that make a difference around the world. We're looking for a proactive, highly organised Business Administrator to play a key role in supporting our operations across Slovakia and the wider Central & Eastern European region.

This is a varied and hands-on position that combines business operations, administration, finance support, HR coordination, business development assistance, and office management. You'll be at the heart of the business, ensuring our teams, processes, and workplace run smoothly while delivering an exceptional employee experience.

The Opportunity

As Business Administrator, you will act as the central point of coordination for local operational activities, vendors, and office services. You'll work closely with leadership, employees, external providers, and regional teams to ensure business continuity, compliance, and operational excellence.

This role offers the opportunity to work across multiple business functions while gaining exposure to HR, finance, business development, events, and operational management.

Key Responsibilities

Business Operations & Office Management

  • Ensure smooth day-to-day office and business operations.
  • Coordinate vendors, service providers, and office facilities.
  • Manage office standards, supplies, access control, and visitor procedures.
  • Organise meetings, prepare minutes, and follow up on actions.
  • Support onboarding and offboarding activities from an operational perspective.
  • Maintain office procedures and ensure compliance with company policies.

Business Development & Marketing Support

  • Support proposal and bid activities in accordance with company policies.
  • Assist with presentation preparation and business development materials.
  • Contribute to capability statements and marketing initiatives.
  • Support participation in industry events and conferences.

Executive & Event Support

  • Assist leadership with management meetings, workshops, town halls, and team events.
  • Coordinate venues, catering, logistics, communications, and event materials.
  • Liaise with external suppliers and manage event-related budgets and administration.

Finance Operations Support

  • Manage invoice processing, approvals, and submission to accounting.
  • Track operational expenditure and support budget monitoring.
  • Assist employees with expense reimbursement processes.
  • Maintain supplier and client documentation and contract records.
  • Coordinate supplier and client onboarding activities.

HR & Employee Support

  • Support the flow of employment-related documentation.
  • Coordinate with external payroll and benefits providers.
  • Assist employees with travel, expenses, and operational policies.
  • Manage employee benefit administration, including meal card services.
  • Support IT equipment allocation and recovery for joiners and leavers.

Health, Safety & Environment (HSE)

  • Coordinate HSE activities with management and external specialists.
  • Support health and safety training, inspections, and compliance requirements.
  • Maintain relevant documentation and records.
  • Coordinate employee PPE requirements.
  • Monitor environmental and sustainability-related office metrics.

Logistics & Courier Management

  • Coordinate domestic and international courier services.
  • Manage shipment tracking, records, and supplier relationships.
  • Control related costs and support process improvements.

Qualifications

We're looking for an organised and service-oriented professional who enjoys variety, thrives in a fast-paced environment, and takes ownership of delivering high-quality support.

Essential Experience

  • 3-4 years' experience in business operations, business support, HR administration, finance operations, business development support, or a similar coordination role.
  • Experience working with external vendors and service providers.
  • Knowledge of HR and finance processes, including onboarding, offboarding, invoices, expenses, and document management.
  • Experience supporting multiple teams, stakeholders, or locations.
  • Fluent Slovak and English, both written and spoken.

Desirable Experience

  • Experience providing support across multiple countries or regional teams.
  • Previous experience in a corporate, professional services, consultancy, or project-driven environment.
  • Experience working within Central and Eastern Europe (CEE) markets.
