Job Description

NBCUniversal seeking an Executive Assistant who will be responsible for supporting two Senior Vice Presidents SVP, Workplace Operations with day-to-day administrative functions and operational duties and will also handle special projects as assigned. The ideal candidate for this position has exemplary planning and time management skills and can manage multiple priorities at time) with day-to-day administrative functions and operational duties and will also handle special projects as assigned. Basic Duties: 

  • Provide administrative support: calendar management, book travel and process expenses, execute various department projects 

  • Manage and track calendars proactively, looking ahead to anticipate needs and keep the executive’s schedule running smoothly 

  • Help to plan and execute events such as: client dinners, departmental lunches, and group onsite and offsite with end-to-end support pre and during events.  

  • Organize internal and external meetings 

  • Schedule appointments and maintain calendar 

  • Manage & oversee relevant invoicing, vendor agreements, etc 

  • Develop and maintain positive relationships with stakeholder teams, administrative teams, IT and facilities teams 

  • Providing administrative assistance, such as writing and editing e-mails, drafting memos, and preparing communications on the executive’s behalf 

  • Welcoming visitors and identifying the purpose of their visit before directing them to the appropriate team members 

Qualifications

  • 3-5+ years prior relevant experience, supporting senior Executives 
  • Exceptional communications skills (verbal and written) and strong interpersonal  and communication skills 

  • Proficient with MS Office - Outlook/Word/Excel/PowerPoint 

  • Ability to successfully multi-task and meet deadlines 

  • Excellent at problem-solving, taking initiative, and being very resourceful 

  • Excellent writing and organizational skills with attention to detail 

  • Ability to exercise a high level of discretion in handling confidential and sensitive information 

  • Keen understanding of how to consistently “move the ball forward” in varied circumstances 

  • Willingness to travel and work overtime, and on weekends with short notice 

  • Must be willing to work in New York City office  

  • Must have unrestricted work authorization to work in the United States 

  • Must be 18 years or older

Salary range: $70,000 - $85,000

Required On-Site: This position is required to be performed full-time from an NBCUniversal-designated worksite.
