Job Description

The Entertainment Coordinator will provide administrative support to two executives in Production within the Universal Television Studio organization. The role also interacts with internal leadership team, clients, networks and all personnel, and with external studio clients, executive producers and producers.

Essential Responsibilities:

  • General administrative duties including: answering telephones, scheduling, arranging drive-ons, copying, filing, processing expenses, and planning all travel arrangements for executives
  • Maintain reports and databases for staffing submissions, production schedules, material delivery, and studio-wide series coverage
  • Coordinate conference calls, run-thrus, and both in-person and virtual meetings and table reads; maintain files and status reports for series in production
  • Anticipate scheduling conflicts, production needs, and administrative gaps; proactively address issues or escalate appropriately without requiring direct instruction.
  • Continuously evaluates existing processes and workflows, identifying redundancies or outdated practices and proactively propose improvements 
  • Assist in internal communication with our production and talent, and across NBCU departments and divisions; as well as with external partners in the creative community: networks, streaming services, other studios, agencies and managers
  • Process contracts, deal memos, and budgets as well as maintain staff, crew, and travel databases
  • Distribute materials to internal and external parties as needed following strict protocols
  • Will be a team player and cover for other department assistants as needed

Qualifications

Basic Requirements:

  • Minimum 1 year working within studio, network, agency or production company in an assistant capacity

Desired Characteristics:

  • Bachelor's degree
  • Working knowledge of Adobe, Final Draft, Microsoft Office including Word, Excel, PowerPoint, Outlook, Teams
  • Knowledge of how the TV development and current programming processes work and key players within the industry
  • Willingness to read and write coverage for writer submissions or other creative material
  • Multi-task oriented, excellent organizational and time management skills, as position will assist high volume department
  • Flexible, personable, self-starter, and extremely detail-oriented with the ability to interface with the creative community as well as all levels of NBCU staff
  • Ability to work well in a fast paced, deadline driven environment

Additional Requirements:

  • Hybrid: This position currently has a hybrid schedule, which requires contributing from the office a minimum of four days per week. The Company reserves the right to change in-office requirements at any time.

  • Salary range: $56,000-$60,000
